Administrative Assistant - Leasing/Legal in Pittsburgh, Pennsylvania For Sale

Job Description
PURPOSE/MISSION:
To provide administrative support for the Legal Department with regard to incoming telephone calls, typing and distributing legal and other documents, and file maintenance. Also to assist the Leasing Department with proposals, letters (sometimes on the Dictaphone) and memos.
PRIMARY RESPONSIBILITIES:
Answer and screen incoming telephone calls for in-house Legal Counsel.
Type all legal documents, including Leases, copy and distribute as required.
Type letters, memorandums, etc. from recorded dictation.
Answer telephone calls as needed during the day.
Serve as temporary backup for the Receptionist.
Prepare special forms, i.e. filing judgments, praecipes, etc. and gather necessary documents as required.
Maintain lease files and other documents pertaining to tenants.
Retrieve letters and files for in-house Legal Counsel.
Provide electronic copies of Leases and Lease Amendments for tenants upon refinancing.
Provide temporary support for other administrative personal who may be on vacation or out of the office.
Scanning of leases, amendments and other legal documents for company use
Send lease and amendments to various financial institutions as required under financing agreements.
Prepare lease proposals, parking leases, letters and memorandums as needed to support the leasing department.
Perform other duties as required for the successful operation of the Legal and Leasing Departments
Positive interface with in-house counsel, staff members in Accounting, Property Management and Leasing Departments

EDUCATION/EXPERIENCE REQUIREMENTS:
High school diploma or equivalent with emphasis on office procedures 2 years experience in office/accounting functions
2 Years of administrative assistant experience
Good computer skills, including knowledge of Microsoft Work and Adobe software
Familiar with office equipment – fax, copier, typewriter, Dictaphone, postage machine and digital scanner
