As the Senior HR Administrative Associate, Bayer offers the opportunity to provide technical and executive support for the Vice President of HR//Services US. The incumbent is expected to consistently perform at a high level and must exercise significant initiative, creativity independent analysis, discretion, self-motivation and sound judgment on a regular basis for the Vice President and HR//Services. Additionally, this position and the decisions made by the incumbent are crucial to the success of the Vice President and HR//Services. This position serves as the single point of contact for the Vice President for HR//Services Leadership Team, the HR//Services Management Team, 160 employees in HR//Services US, as well as, US executive and Global executive teams. Additional functions of this role will include: . Manage the VP's electronic calendar to schedule and arrange all daily activities. Also, assist with tracking high level communication and deadlines via Outlook and emails. Due to the tight schedules for meetings and extensive diversity of the business groups and stakeholders involved, it is crucial that this calendar is accurate. . Responsible for telephone coverage for the VP. The majority of these calls are from Global HR executives (Germany), Bayer business executives, HR executives, Global Process Owners and HR business professionals. These calls must be answered in a courteous, well-informed, professional and confidential manner. . Arrange all domestic and international flights, hotel accommodations, and rental car reservations by either using Concur or World Travel Partners for the VP. Some of these travel arrangements include complicated air travel. Preparing paperwork for Visa's and Passports. The incumbent must prepare meeting packets that include pertinent information with regards to the travel i.e. airline information, agendas, itineraries. In addition, he/she will coordinate all international travel for the HR//Services Leadership Team. This will ensure one person is fully aware of the best logistics and savings opportunities on an international basis. . Provide advice and support to staff and peers both within and outside of HR//Services US i.e., answering procedural and technical questions, providing information, direction and problem resolution when requested. . Process the VP's and HR//Services Leadership Team's expense reports and relocation forms. Audits all expense reports submitted by the VP's direct reports to ensure compliance with corporate policy. . Coordinate all informal group events for HR//Services US. This includes roundtable lunches, employee appreciation activities, small celebrations, etc. (For clarification, events requiring external presenters, communications and AV support will be managed by the communications specialist.) . Lead an Administrative Team to discuss issues and identify ways to improve day to day administrative workload. . Using the Continual Improvement Process (CIP), identify projects to improve the effectiveness of their administrative functions and responsibilities. . Direct and lead arrangements for staff meeting, group meetings, benchmark visits, and other functions. This involves interfacing with outside sources to negotiate prices for hotel rooms, conference rooms, and equipment. This will be done in combination with an HR//Services business analyst. . Compose and prepare invitations and pre-meeting correspondence, on-site meeting information, and logistical instructions for attendees. . Review and select menus for refreshments, luncheons and dinners. . Plan and coordinate all group activities during these meetings / events. . Arrange transportation and coordinate changes for meetings/ events, if appropriate. . Provide on-site management for meetings / events to ensure all arrangements are followed through by meeting facility staff, etc. Your success will be driven by your demonstration of our LIFE (Leadership, Integrity, Flexibility, Efficiency) values. More specifically related to this position, we are seeking an incumbent who possess the following: . An Associate's Degree in Business Administration or 10 years related experience in positions of increasing responsibility is desired. . Outstanding organizational, time management, independent prioritization skills, self-motivational skills, and multi-tasking are imperative to effectively perform the functions of this position, since the responsibilities are extremely diverse and varied. . Ability to manage multiple assignments and projects simultaneously. Excellent stress management skills to effectively remain calm, professional, and levelheaded at all times are required. The incumbent must be very comfortable and highly effective / successful working independently while also being able to demonstrate strong teamwork skills. . Strong interpersonal skills, professional and ethical work practices. Must possess the ability to effectively interact with employees at all levels of the Bayer organization in all regions especially senior management. This position requires the ability to proactively identify, analyze, and recommend opportunities and options for improving group efficiencies, as well as cost savings recommendations. . Competence, flexibility, and effectiveness at dealing with frequent and highly stressful situations and assignments including many short notice assignments with conflicting priorities. This position is constantly faced with changing needs and must have good analytical and practical judgment skills to assess and / or adjust to frequent priority changes. . Excellent verbal and written communication skills with diverse internal and external contacts. Excellent spelling, typing, grammar, and math skills are needed for generating requested reports, documents, slides, etc., as well as, for proofing/editing/formatting these documents. Good verbal presentation skills are necessary. . Accuracy and timeliness in every aspect, including meticulous attention to detail. The incumbent must have highly proficient computer skills, especially Windows, Microsoft Word, Excel, PowerPoint, Outlook and other Bayer mainframe programs as well as internet / website skills along with the ability to investigate and implement new software. Strong database management skills are needed to develop, re-program, and maintain databases to meet the CAS requirements. . A comprehensive understanding and accurate interpretation of Bayer's organization, methods, systems, policies and procedures, is imperative for this position. Preferred Qualifications: . Proficient German language skills . Experience using SharePoint . Experience working in an international organization, particularly with executives within that organization.
